Accounts Assistant

Job description

JOB PURPOSE: Working closely with the Financial Controller, this is an exciting opportunity to take ownership of a hands on Accounts Assistant role. You will be responsible for keeping the day-to-day running of the finances as smooth as possible. You will be a partner to the account management team, acting as their first point of call for finance assistance, supporting and enabling them to drive the commercial success of the business. CULTURAL IMPACT: You are the accessible face of the finance team and a true partner to the Account Managers/Account Directors, helping support them and enthuse them about finance. Above all, you have the opportunity to make finance seem approachable, making it less intimidating, more comprehensible and more enjoyable for those for whom it doesn’t always come naturally. KEY TASKS & RESPONSIBILITIES: You will have a wide range of accounting responsibilities, including: Purchase • Maintenance of the purchase ledger: setting up new suppliers, keeping details up to date and liaising with suppliers • Registering all purchase invoices and expenses • Preparation of payment runs: collating for FC approval, uploading to Barclays online portal and posting once paid • Processing staff expense claims: checking VAT, cost allocation and raising queries where necessary Cash Management • Petty cash management and reconciliation • Credit card management and reconciliation • Bank reconciliations Sales • Maintenance of the sales ledger: setting up new clients, keeping details up to date and liaising with clients • Creating sales invoices and managing billings: sending to client & AH, and uploading to online portals • Credit Control: chasing clients for payments, running weekly aged debtors report, and flagging cause for concern Commercial • Client Profitability analysis and reporting • Fee reconciliations, job costing, and other WIP-related support • Paprika training and maintenance for Account Management Other Responsibilities • Preparation of quarterly VAT return, PSA and P11Ds • Management of private healthcare policy, Fitness First membership and cycle scheme • Assistance with the year-end audit processes • Timesheet tardiness reporting to the MD/Head of Strategy/Creative Partner • Reviewing and billing client Travel & Expenses • Management of electricity account: uploading reading and allocating to correct account • Ad hoc finance-related duties in an ever changing and expanding agency Requirements: Ideally previous experience of working in a similar or equivalent role, and experience in advertising would be advantageous. The ability and confidence to work with non-financial members of staff as well as the independence to self-manage are crucial.
