ABOUT THE ROLE
This is a really exciting opportunity for someone ready to step up to Advisor level.
Reporting into the Senior HR Business Partner, you will be working across UM, a media agency built around clients and delivering an amazing Product, Culture and with real Momentum. You will also be working with the EMEA team for Mediabrands. Your client group will be approximately 250 based in our London Office.
As the first point of contact for all employees in your group you will act as an advisor to these areas providing solutions to HR-related issues. Along with the business as usual responsibilities, there is huge scope to be involved in exciting projects including D&I, wellbeing, acquisitions and innovative training programmes.
The HR team currently comprises of 20 people: the HR Director, EMEA, HR Director UK & Ireland, 10 HR generalists (including 2 HR assistants) a Reward Manager, GDPR Project Manager, 2 L&D Managers and 4 Talent Attraction Specialists.
KEY TASKS AND RESPONSIBILITIES
Starters & Leavers:
Ensure passport documentation is taken on employees’ first day and kept in their HR file.
Manage tracking of probations. Ensure managers are notified of probation review dates and manage extensions to probationary periods.
Responsibility for sending probationary period confirmation emails/letters.
Responsible for confirming leave details with leavers and sending confirmation letters.
Conduct exit interviews and produce quarterly management reports on the findings.
Coordinate new starter inductions – HR, finance, IT etc.
Jointly responsible (with the other HR Advisors) for presenting and the administration of the monthly On-boarding Day. This includes, presenting throughout the day, booking relevant rooms, organising catering, confirming presenters on a monthly basis and keeping the presentations accurate and relevant.
Attend the monthly On-boarding Day to ensure the running order is kept to time and the event runs smoothly.
Conduct HR inductions for all new starters.
Check and approve the weekly starters & leavers spreadsheet
Responsible for organising six week catch ups for new starters to ensure they have settled into the new role and feel supported in their working environment
Proactively keep up to date with current legislation and best practice.
Provide advice and guidance to line managers on employee relations and employment law issues where appropriate, escalating matters to HRBPs where necessary.
Confidently handle basic ER issues such as maternity leave, short and long term sickness absence, flexible working requests, probation extensions, etc. including writing confirmation and follow up letters.
Main contact for absence management system and process queries.
Keep accurate records on employees’ right to work for immigration purposes, including keeping the HR Immigration spreadsheet up to date.
Assist HR generalists with checking and monitoring visas during the annual immigration audit.
Compensation & Benefits:
Assist HRBP’s and Reward Manager in final checking of monthly payroll reports.
Work with the Reward Manager to provide data to relevant leaders for salary reviews.
Work with HRBP to guide leadership team on salary review recommendations, using benchmarking data.
Assist with preparation of benchmarking data.
Learning & Development:
Work in partnership with the HRBP’s and L&D Manager to undertake training needs analysis, identifying and advising on suitable training and development solutions as required and sourcing appropriate courses through external training providers
Ensure our internal system FLITE Learning is updated with all training courses booked and attended.
Send out internal PR and advertisements of upcoming courses.
Responsible for ensuring all employees are enrolled in and have completed Code of Conduct training.
Support and guide both managers and employees in the performance management process ensuring clear goals and objectives which are aligned to the overall business strategy are in place for all employees and all employees have an annual appraisal recorded on the system.
Provide systems training and support to managers and employees.
Run reports from the performance management system, FLITE, when needed including goal setting, training needs and appraisals.
Assist the HRBPs in ensuring performance cycle deadlines are met and liaise with employees and managers to ensure they are aware of the correct process.
Work in partnership with hiring managers and the talent acquisition team to add value to the recruitment and selection process for your business units.
Promote Early Careers Offering to Managers and advise on best entry level route for their recruitment needs.
Support the talent acquisition team on the coordination of the entry level assessment days
Assist with HR projects such as wellbeing, diversity and inclusion, interns and apprenticeships, employee engagement survey, reporting and analysis.
Previous experience in a HR role (ideally a generalist role).
Good working knowledge of Microsoft Office especially Word, Excel and PowerPoint.
Good working knowledge of HR Information Systems (e.g. PeopleSoft) is highly advantageous.
Previous experience in providing advice and guidance to line managers on employee relations issues
