About the Role



We are looking for a detail-oriented, reliable billing coordinator to correspond with customers regarding payments, issue invoices, and process credit memos. The billing coordinator will also be tasked with updating accounting records with issued invoices, new payments, customer information, etc.



You should be able to multitask, deal with customer concerns in a professional manner, and assist the finance department with the preparation of financial reports. To be successful as a Billing Coordinator, you should have a good grasp of accounting practices and strong organisational skills. An outstanding candidate will demonstrate excellent communication skills and a knack for working with numbers.



This role offers an excellent opportunity to work across all workstreams within the company and to build strong customer relationships with high profile clients. As part of this position, you will be given the opportunity to work from home, and from our Central London office two days a week (Tuesdays and Thursdays).







Key Responsibilities



This is an essential and busy role, which oversees the billing for all customers, known as members. The AA is a trade body, operating a subscription-based billing model, which involves approximately 800 annual invoices to 350 customers, across 5 entities.



The key duties of the role will include:

-Creating and issuing invoices to customers

-Processing credit memos

-Preparing account statements for customers

-Following up on outstanding payments and answering customer queries

-Monitoring all payments and preparing monthly billing reports

-Managing account balances and resolving inconsistencies

-Assisting the accounting department with the preparation of financial reports

-Updating accounting records with issued invoices, processed payments, new balances, and customer contact information

-Maintaining financial security by following internal controls

-Daily bank reconciliation

-Assisting the Finance Director and Finance Manager, and supporting the mentoring of the Finance Apprentice

-Entering and managing transactions in Xero

-Assisting with year-end audits and financial statement preparation.

-Creating and maintaining spreadsheets





Skills and Experience



If you are an experienced biller from the advertising sector and would like to join our close-knit finance team to support the important work of the Advertising Association, then we would love to hear from you.



We are specifically looking for candidates with the following skills and experiences:



Essential Skills:

-Experience using Coupa, SAP Ariba and Tungsten

-Knowledge of accounting software such as Xero

-Highly organised and able to work to deadlines, prioritising as necessary to manage the workload

-Passionate about quality, detail, and accuracy with the ability to meet the highest standards in their work



Desirable Skills:

-Previous experience as a billing coordinator or similar role within an advertising agency environment

-Experience processing and reconciling multi-currency billing

-Professional, confident, and able to communicate clearly with all levels of staff

-Strong IT skills (Microsoft Officer), particularly Excel

-Positive and motivated mindset, while being able to analyse and challenge areas for improvement Highly numerate and the ideal candidate will have completed their AAT

Its purpose is to promote responsible advertising and its value to the wider society.



The Advertising Association also provides a conduit between the industry and the Government, working with our members, Parliamentarians, civil servants, and other trade associations on policy issues affecting the advertising industry.



The finance team includes a Finance Director, Finance Manager (line manager for this role), and a Finance Apprentice. The Billing Coordinator is a new role and will own all things accounts receivable.
