Job description


Human Resources:

Imagination has small HR teams who provide generalist HR services. The EMEA team cover all aspects of HR, diversity, delivery of development initiatives and recruitment. The team work collaboratively together, and partners with our internal clients, to ensure smooth integration of HR initiatives into Imagination.

Role Overview:

Deliver proactive HR admin support to the broader HR team. Carrying out specific database management and on-boarding processes under the guidance of HR colleagues, ensuring compliance with company policies, procedures and employment legislation.

Detailed responsibilities:

Maintaining the HR database. Initially under the guidance of the HR Advisor, input data for new joiners, annual updates for pay review and benefit renewals, running reports.

Data input and administration for all people related matters on Maconomy (Imagination’s finance/business management system), e.g. start/leave dates, user record admin, holiday entitlement, ad hoc timesheet correction admin, etc.

Preparation and issue of HR related correspondence for Employees Offer letters, contracts other joiner/offer pack related literature (for permanent employees and small numbers of fixed-term PAYE employees.

Checking authority to work in the UK and compliance with Immigration/Visa monitoring requirements.

Reference collection process

Monitor freelancer authorisations and ensure all freelancers are issued with the correct Contract of Engagement in line with IR35 regulations.

Initiating HR administration process forms and ensuring appropriate sign off.

Ensure files (paper and electronic) are maintained in accordance with Data Protection regulations.

Assisting the Head of HR and broader HR team generally in the development and implementation of various HR initiatives or ad hoc requirements including recruitment, development, benefits provision etc.

Support the HR Advisor on ensuring compliance with company policies and procedures, for example (but not limited to) ISO documentation, information security training.

Support and participate in the establishment of Imagination’s DE&I activities, working with internal stakeholders and external partners as required.

Provide admin support in recruitment for the wider HR team, including: developing job descriptions, adverts, using direct hire tools, scheduling interviews, making offers, compiling offer packs (with support from Senior Recruitment Manager).

Experience and skills required:

Ideally some relevant experience in an administrative role, preferably in HR. Keen to develop their career in HR.

Creative agency experience preferred or experience working in organisations with a strong client service/customer service culture.

Ideally educated to degree level or with equivalent level of experience (potential for longer term HR/CIPD training support available).

Microsoft Word & Excel – excellent; must be able to run merges, manipulate and collate data.

PowerPoint – basic skills useful.

Knowledge of databases – must understand their importance in the HR function and their capabilities.

Exceptional integrity, approachable, discreet.

Proactive, must be very organised, efficient, accurate and detail oriented
Used to managing multiple deadlines.

Bonus - Imagination operates a non-contractual discretionary profit related bonus scheme. To be considered, employees must have 9 months service before the end of the Imagination Financial year (August).

Annual Leave – Current entitlement is 25 days and 3 days leave must be taken between Christmas and New Year when the office closes. Holiday year operates from September to August.
