Job description

Responsibilities
The successful Office & Operations Manager will be responsible for aspects of the office management and take increasing responsibility for the operational running of the company and be the go to person for office and operations support.

Operations
Responsible for all global office, and operations, improvements
Manage the UK, US and APAC offices, with regards to leases, assets & staff welfare.
Manage office relocations, from finding offices, to moving, fit out and installation.
Responsible for managing yearly budgets and targets for office costs, staff welfare, training and travel.
Be accountable for the live and virtual office environments globally
Fire warden and First Aid duties
UK Health and Safety Officer. Keeping the office up to date with all policies, risk assessments and necessary Fire Log Books.
Sustainability - Environmental impact recording for the office
Managing and establishing global expansion as we now have to cover US and UK for legal and employment laws compliance
GSuite administration manager - manage, set up new users, migrate accounts, IT support.
Asset management (recording and setting up laptops/phones).
Be the point of contact for all IT services and issues, liaising with external IT company as needed.
Working with Trust Keith, our data compliance platform and DPO, as a data champion to ensure all staff are trained and compliant in the workplace.
Assisting our Head of Operations with the annual ISO accreditation. Helping the organisation’s processes remain legally compliant, such as ISO accreditation and GDPR.


Office
Assist FD with Onboarding /Offboarding staff: Organising inductions, exit interviews, assets.
Manage & coordinate work experience placements
Organise work visas needed for employees
PA to CEO (personal and professional)
Monthly expense management and credit card reconciliation.
Research, organise and manage all staff/client events, including staff parties, team bookings and peer recognition.
Organise & manage global staff celebrations & client meetings
Programme building access fobs, removing and managing the system for all staff and freelancers.
Book global travel and accommodation for all senior staff members
Maintain office facilities, repairs and maintenance
Manage the cleaning company
Maintain weekly kitchen food & drink supplies
Answering the main Across the Pond telephone and email account, screening calls and directing queries.
First point of contact for all visitors & clients at the office
Ad hoc support to staff and directors, such as calendar management

Key Skills
Strong organisational & communication skills
Office and diary management experience
Experience of office relocations, lease renewals highly desirable.
A passion for people and problem solving
DEI exposure
Knowledge of software such as GSuite, HiBob, Slack
The ability to make this role your own and bring your ideas to the table and execute on them
Creative Agency experience preferred but not essential
